Saving your documents

Naming files

  • Your file’s name should be descriptive and meaningful
  • Improper names for files are Doc1 or John Smith
  • Try to use no more than 8 characters
  • Do not use spaces; if you must separate words, use an underscore character (_)

Choosing a file location

  • Only temporary files should be saved to the hard drive
  • Save your files to A: Drive (3.5 floppy), H: Drive, or a CD-ROM
  • Zip Drives are not available on campus

Saving your file

3.5" FLOPPY DISK

  1. Click File, choose Save As
  2. When the dialog box appears, click the box labeled “Save in:”
  3. Choose “3.5 Floppy (A:)”
  4. Change the name of the file if desired, click Save

CD-ROM

  1. CD-Rom writers are available on the first 5 computers in CCT Open Lab 124
  2. Save the file you wish to burn to a temporary location and insert the CD
  3. Double click the desktop icon labeled CD-Maker 2000 Plus
  4. When the program starts, select Data CD
  5. Choose SONY CD-RW from the CD Recorder drop down menu (center page)
  6. In the top left window, locate your file
  7. In the top right window, click and drag your file to the bottom right window (this step can be repeated with multiple files)
  8. Click the button with a red dot (RECORD BUTTON) near the top

H: DRIVE

  1. Click File, then choose "Save As"
  2. When the dialog box appears, click the box labeled “Save in:”
  3. Choose “Numbers on ‘Lab0\Vol1\Stu\Container’ (H:)”
  4. Change the name of the file if desired and then click Save

ACCEPTABLE USE POLICY STATEMENT: THE H: DRIVE MAY BE USED FOR ACADEMIC PURPOSES ONLY! DO NOT INSTALL SOFTWARE OR STORE MEDIA FILES ON YOUR H: DRIVE. SOFTWARE AND/OR NON-ACADEMIC FILES ARE SUBJECT TO REMOVAL WITHOUT PRIOR NOTIFICATION.

The H: Drive is your own personal server space to store academic files. The contents will remain as long as you are continuously enrolled at Columbus State University (including summer semester).

Getting to your H: Drive

  1. Locate the “My Computer” icon on your desktop
  2. Look for the drive with “Numbers on ‘Lab0\Vol1\Stu\Container’ (H:)” and double click
  3. You can now view files on your H: Drive

Moving a file to your H: Drive

  1. Open the H: drive by going through the steps above
  2. Reduce window to half screen by clicking the middle button in the top blue bar
  3. Open “My Computer” again and double click the drive you saved your file(s) to
  4. Make sure both windows are minimized to show on the screen (see screenshot)
  5. Highlight the files you wish to move in one of the three following ways
  6. Individual folders – Click with the left mouse button
  7. Adjacent folders – Click on the first file, press Shift key and click the last file (all files between the first and last file will now be highlighted)
  8. Random folders – Hold down the Ctrl key and click only the files you wish to move
  9. Right mouse click on one of the highlighted files and pull over to the H: drive window
  10. Pull with the right mouse button depressed until you get to any white space on the H: Drive window, release the right mouse button and a drop down menu will appear giving you a Copy or Move option.
  11. Copy – Moves the files and will stay in the original location
  12. Move – Moves the files to the H: Drive and removes them from the original location
